
InformationThe History of the International Linkages Database Service (ILDS)The ILDS was developed and implemented to collect and maintain the international linkages of the Faculty of Life and Physical Sciences. At the same time, it provides a valuable IT resource to the staff of the Faculty and to the wider University community. It allows the Faculty and the staff to raise its international profile, increase and diversify its funding sources and increase research opportunities. The aim of the ILDS is to encourage staff members to communicate and network with each other. The Faculty developed the ILDS with a university wide application in mind. The ILDS was a collaborative project between the Faculty of Life and Physical Sciences, the University Web Office and UWA Human Resources Systems. This innovative IT project combined the skills and knowledge of each to design and develop a new way to collect and maintain information at UWA. International LinkagesThese are the international linkages of the UWA staff member. They are listed in chronological order from the latest to the earliest. Each international linkage is linked to an overseas insitiution and has a contact person at the overseas instituion. If you would like more information about any international linkage please contact the staff member who lodged the international linkage directly. Latest LinkageThis linkage is chosen by the Faculty of Life and Physical Sciences ILDS administrator and highlights the many and diverse linkages that the Faculty are constantly making around the world. Travel TipsTravel tips are listed by the UWA staff member to assist other staff members who are going overseas. This is advice only and you should contact the Department of Foreign Affairs and Trade before you travel. If you would like further information about a travel tip, please contact the staff member who lodged the tip directly. Expertise/Research Area at UWAAttached to each expertise area listed on the Official Publications Expertise on Line is a URL(web address) to a site entered by the UWA staff member. This URL will give you more information about that particular research or expertise area. If no URL is entered it means that the UWA staff member has not entered an address. Please contact the UWA staff member directly for more information. The Research and Expertise topics can only be updated at the Official Publications web site. SearchTo search the ILDS select a country from the drop down menu and click on the country of your choice. You can then select 'go' and search allthe linkages for that country.Alternatively, you can also select an institution from the country you have selected. All the institutions from a particular country are listed when that country is selected. Once you have selected an institution click go to view all the linkages from that institution . You cannot select an istitution without selecting a country first. Advanced SearchThe advance search allows you to refine your search. Enter information into one or more fields and click go. You will then be able to view all the linkages for that search category. If you enter incorrect information into a field you will receive a message indicating that no match has been found. You should check your information or refine your search. Summary Page-International LinkagesThe international Linkages Summary page lets you preview the international linkages for a particular search category before you look at the details. This will save you time and let you chose the linkages which best suit your needs. The summary page contains alot of useful information. Date of Linkage Each linkage has a start date which appears in the first column of the summary table. This lets you know when the linkage started. Each link is current if it appears on the database. Each year the linkages are reviewed and updated by the staff. If a link has not been updated it will be flagged so people are aware of its status. After a period of time the linkage will be archived if it is not updated.
Type of LinkageThere are many different types of links. This will help you decide if the linkage is appropriate for your needs. The type of linkages will evole over time as more linkages are listed on the ILDS. Extent of LinkageThis will give you the extent of the linkage when you click on details in the first column. The details of the extent of the linkage are entered by the UWA staff member and outline the activities and purpose of the linkage in greater depth. Funding SupportThis is an importart function of the ILDS. Located in the second column of the ILDS summary table, it will allow people to see the support mechanisim or agency that was part of the linkage. These support mechanisms could be grants, fellowships or prizes. Other staff members will be able to identify succesful candidates in particular fields and at particular institutions and seek mentoring or guidance form those staff members to successfully apply for the same scholarship or grant. Name of UWA Staff MemberThe name, Email and telephone number for the UWA staff member who lodged the linkage can be found here. These details will allow other people to easily contact the staff member to discuss the link, encouraging networking and communication among the staff member. If you click on the staff name you will be taken to the staff details for that staff memeber as listed in the UWA Staff Contact Directory. UWA School/Centre/SectionThis is a link to the school/centre or section that the uwa staff member works in at UWA. The link will take you to the home page of that school/centre or section. School/Centre/Section at linked institutionThis is the school/centre or section that the UWA staff member was attached to while overseas or the school/centre or section that the UWA staff member has contact with in some form. The institution will be linked if the UWA staff member has linked the institution themselves. Research at Linked InstitutionThis a link to any research undertaken by the UWA staff member at the overseas institution or linked to the overseas institution. The link will take you to a table that lists the research topic and a URL (Web address) for that particular research topic. There may be numerous URLs for each research topic to allow the UWA staff member to direct you to the most comprehensive information concerning their research. Research at UWAThis is link to the current expertise /research topic for the UWA staff member at UWA. The link will take you to a table that lists the research topic and a URL (web address) for that particular expertise/research topic. This may be a publication, a staff profile or a powerpoint presentation showing the latest research into that expertise. These URL are completelty controlled by the UWA staff member. The expertise/research topics are taken from the list of Expertise On Line and are automatically loaded from that database. Linkage DetailsThe details page gives you more information about the staff details from the Staff Contact Directory. It also gives you the details about the Extent of the Linkage and a photo if the UWA staff member chose to include one. You can also see the Research at the Linked Institution and the Current Research at UWA. To make another search once you have finished click on the serch page in the navigation bar to the left. Travel Tips-SearchThe Travel Tips seach page allows you to search the travel tips made by other UWA staff. Select a country and the city and institutions will automatically load. Once you have made your selection press go and discovery the world. This information is provided as advice only. Before youtravel you should contact the Department of Foriegn Affairs and Trade for the latest travel advisories. Travel Tips-SummaryOn this page you will be able to read a summary of all the travel tips for the selarch you made. You will be able to see the date, the name of the UWA staff memeber, a brief description and a photo. For more information about the country, city or institution you should contact the UWA staff member directly. Human Resources-Employee Self Service(HR-ESS)Human Resources Employee Self Service provides the ILDS with an authenticatiopn process, an update service and manages the database facility. Authentication ProcessThe authentication process provides security for the UWA staff when they are adding or updating their linkages. Only the UWA staff member with the linkage can access the record for that linkage. To add or update your linkages, travel tips or Epertise/research Topics simply log into ESS and enter your staff number and your normal password. Managing your LinkagesAt HR-ESS you can manage your international linkages. Each screen gives you instructions on what the page is for, what you can do on it and an example. The process to add a new international linkage or to edit an existing linkage is very straight forward: - Log onto HR-ESS(only current UWA staff members can do this)
- Select Personnel from the Web Main Menu
- Select Your Details
- Select International Linkages
- Select Edit/Add Linkage
- Select the linkage you wish to edit from the summary list or select add a new linkage to add a new linkage
- Complete the linkage details page with as much information as possible
- Send the linkage for approval by clicking Send For Approval at the bottom of the screen
Once you have sent off your new or edited linkage you will return to the linkage summary page. Your new or edited linkage will be shown Pending Approval in the linkage summary table. Managing Your Travel TipsAt HR-ESS you can manage your travel tips. Each screen gives you instructions on what the page is for, what you can do on it and an example. - Select International Linkages
- Select Edit/Add Travel Tip
- If you want to add a new travel tip select Add New Travel Tip link
- To edit a current travel tip (e.g. add more information) select the tip from the Travel Tip Summary table
- Once you have finished entering the details on the travel tip details page, send the travel tip to the ILDS administrator for approval By clicking Send for Approval at the bottom of the page
Once you have sent off your new or edited linkage you will return to the Travel Links summary page. Your new or edited travel tip will be shown Pending Approval in the Travel Tips Summary table. Managing Your Travel TipsAt HR-ESS you can add a URL (Web Address) to tour listed Expertise/Research Topics. To change your Expertise/research Topics, you must contact your school or centre administrator (You cannot update your Expertise/Research Topics on the ILDS). To addor change a URL for a Expertise/Research Topic you should: - Log onto HR-ESS(only current UWA staffcan do this)
- Select Personnel from the Web Main Menu
- Select Your Details
- Select International Linkages
- Select Add/Edit Epertise/Research Topics
- If you want to add a new URL to a listed Expertise/research Topic click in the empty field next to the Expertise/research Topic and enter the URL
- If you want to edit a current URL to a listed Expertise/Research Topic click on the URL and edit it as required
- Once you have finished entering the details of the URL send it to the ILDS administrator for approval by Clicking on the Send For Approval button at the bottom of the screen.
Once you have sent off your new or edit URl you will return to the Expertise/Research Topics page. Your new/edit URL will be shown Pending Approval in the Expertise/Research Topics Table HELPHelp is available on the ILDS. FLPS ILDS AdministratorYou can contact the Faculty ILDS administrator to ask questions or make any comments or suggestions about the future development of the ILDS. Your questions will be answered promptly in clear English by the Faculty administrator. The administrator can outline guidelines concerning the use of the ILDS and give you limited technical support. ILDS Contact Person NetworkThe ILds has a contact person in each school and centre of the faculty to help you understand better the ILDS. You can contact your ILDS person in regards to simple everyday questions about how to use the ILDS. If you require more detailed help, the ILDS contact person will direct you to the ILDS administrator at the Faculty office. The University Web OfficeThe University Web Office can help you if there are technical uissues with the web pages. Please send your enquiry to Web Office and mark it ILDS.
